Board Member Descriptions

BOARD POSITIONS

PTO President
The president oversees PTO Meetings (4 per year), attends the President’s PTO Council meetings (once a month with all the other EP schools), and provides support to the other roles to make sure that all of our wonderful events can take place. You will have lots of people to help you along the way. Find a friend to share the load with you and make it a true team effort!

PTO Vice President
Being a Vice President is a good way to get ready to take on the Presidency the following year! Work with the president to prepare and run the PTO meetings. Help make sure we have people to chair all the events. Find a friend to be co-VP with you!

Secretary
If you like taking minutes and writing communications, we want you! The secretary takes and distributes minutes at all our PTO meetings, as well as sends out reminders for upcoming board meetings.

Duties can include:
– take meeting minutes and distribute
– attend meetings both informal and formal
– go through incoming mail if Presidents need/want help
– communicate with office on events
– help out at events and activities
– actively seek out new volunteers
– support current volunteers
– support teachers/staff/office
– support PTO board
– communications
– contact with other EP PTO boards

THE ABOVE EQUALS FUN and takes 5-10 hrs per month…
As with all volunteer positions, you are empowered to make the position work for yourself and the team.

Volunteer Coordinator
This position can be done primarily from the comfort of your home on the computer using the Sign-Up Genius website. Our various chairs will coordinate with you about each event and their requirements.

For each event:
– work with event chair to review volunteer needs in Sign-Up Genius
– publish Sign-Up Genius page and distribute the link to the board to be promoted on social media, website, and announced in the PV newsletter or by teachers

For the year:
– work with the board to recruit volunteers which includes brainstorming ideas and helping implement them
– manage the volunteer mailing list within Mailchimp and send volunteer eblasts as needed

Communications
Responsible for coordinating and/or creating communications to Prairie View families for PTO events and initiatives. A job easily done from home and can either be a solo role or tackled by a team. Each month the Communications Lead provides content to Prairie View’s Admin Assistant for PTO’s portion of the Prairie View enewsletter. The Communications Lead also manages PTO’s social media accounts and provides content to the PTO webmaster for the PTO website. This is a fun role that you can make your own by deciding the best ways to get the word out to families. Not only do you get to know many parents and staff, but you also stay on top of the latest news at Prairie View.

CHAIR POSITIONS

Yearbook
Work with the yearbook vendor and a classroom teacher to lead the yearbook club. Coordinate student yearbook volunteers to design and layout pages. Gather photos from families, students, and teachers. Take photos where needed. Manage yearbook sales.

Kindergarten Playdates Chair
Kindergarten playdates are a great way to welcome new families to Prairie View. Typically, we host playtime on the playground for an hour after Kindercamps in August. Mingle with parents, give them info about PTO and the school, pick out treats (like popsicles) for the kiddos.

Back to School Picnic Chair
Our fall picnic takes place the same night as the EP Eagles Homecoming football game. Work with the school to coordinate timing and a visit from the high school band. Make arrangements for food trucks and activities such as Boosterthon DJ, face painting, bouncy houses.

Conference Meals Chair
In the Fall and Winter, we provide meals to teachers for the conference days that extend to 8:00. It is our way of saying thank you for all they do for us. We need someone to plan what will be served for the main meal, order it, and setup. Depending on what you plan, we will find volunteers to supplement the main meal with beverages, treats, and clean up.

Spring Fling Chairs
Spring Fling is a party thrown for 5th graders at Central Middle School at the end of the school year. Each of the elementary schools have 2 chairpeople (parents of 5th graders) to coordinate the event.

PTO “CARES” Chair
This is a new position that we are creating for this school year! We would like to do a better job showing our appreciation for our volunteers and our wonderful staff at Prairie View. This would take the form of writing thank you notes, birthday and sympathy cards for our staff, recognizing retirements, etc. This is something that could be done from home with a group of friends or you could make it fun by coordinating with a classroom.

Donations Chair
This is also a new position that would work with the various event chairs to coordinate collecting donations from local businesses for our events. We are fortunate to have generous business owners in Eden Prairie who work with us in many different ways.

Prairie View Spirit Wear Chair
Our students, staff and parents look great in red and black and love to show their school spirit! This chair would identify vendors and coordinate how and when to offer these items at Prairie View. We have great, local resources that will make this job fun and manageable.

Read-A-Thon Chairs
This is one of our biggest fundraisers of the year and our students have met the challenge of reading thousands of minutes head-on!

Staff Appreciation Chair
Help us show how much we appreciate our teachers and all the staff here at Prairie View! Plan one week of snacks and meals in the Spring to recognize a job well done!!

Fall Harvest Chairs
Kids get a chance to dress up in their Halloween costumes, dance, make some crafts, play a few games, and eat a yummy treat! The schedule is all set-we just need someone to put it all together!

Carnival Chairs
Our annual Carnival is our other major fundraiser and a family favorite! Games, food, raffle, classroom baskets, and lots of volunteers! We have a long history with this event, so team up with a friend to oversee the whole process and you will have lots of help along the way!

Book Fair Chairs
We have a book fair in the fall and the spring! It’s a chance to buy books for your collection and help buy new books for the PV students to read at school!

School Directory/Calendar Chairs
Every year, we put out a directory and calendar at the start of the school year. This is a fundraising effort with a local company. As the chair, you would be the liaison between the vendor and the PTO. Responsibilities would include providing info to the vendor as needed and coordinating proofreading efforts and classroom delivery.

Movie Night Chairs
PTO purchased a large drop-down screen and projector for the cafeteria a few years ago, and our students LOVE to come to PV at night to watch movies on the big screen! This chair would coordinate with Dr. Meyer picking a movie and a date. It would be great to have a couple of these every school year! We have a checklist for planning movie nights to make it easy.

Parent Social
Coordinate an event for parents! Pick a venue and some food. Work with communications chair to get the word out.

Fun Run
Be the liaison between Boosterthon and PTO. Work with the volunteer coordinator to find volunteers for the event. Work with the communications chair to get the word out. Oversee T-shirt production.

Used Book Exchange
Work with the library staff on dates, getting information out to the teachers/staff and families. Work with the volunteer coordinator to find volunteers for the event.
